When you first start your online business, as a team of one, if can be very overwhelming with all the moving pieces. But you can eliminate plenty of mundane, everyday tasks with automations and workflows like Zapier.
Zapier is a software that is like the cool kid that everyone likes at school. They hang out with all of the friend groups, helping everyone feel seen and heard. Zapier is a business automation tool that makes it easy for two or more different digital tools to talk with each other and get tasks done, no humans necessary!
When you first start your online
business, it can be pretty
overwhelming. Many of us start
as a team of one, just us. Maybe
we hire some freelancers or
contractors to help with
different things throughout the
day, different tasks. But still,
at the end of the day, the end
of the week, the end of the year
can feel like we are doing a lot
of projects are tasks ourselves.
But there is an incredible
software out there that can
eliminate a lot of these mundane
and repetitive everyday tasks
from our plate from your plate
in order for you to grow your
business. And kind of think of
Zapier like the cool kid. This
is the person who has all the
friends, they are liked by all
the teachers, all of the staff,
all of the students, and they
really are friends among all of
the friend groups and cliques
that exist in a school system.
And they help everyone feel seen
and heard. Zapier is a powerful
business automation and workflow
tool that really speaks to apps
and software's of all shapes and
sizes. Kind of like that middle
person who's there to be like,
Hey, your friend, great, hey,
meet this friend over here, and
why don't you meet and talk and
then create a relationship. So
it's a robot creating
relationships with other robots
and tools. And so to better
explain and show you what this
looks like, I'm going to show
you a quick tutorial on how to
get started using Zapier. To get
started with Zapier, go to
Zapier comm, set up a new
account, there are free trial
options, and really affordable
plans to get started, I'm
currently on a paid plan. And
you really pay for the amount of
tasks or workflows that you want
per month, and the amount of
zaps or just individual
workflows you would love to set
up. So in here, what I can do is
let's simply just start with
creating a new zap. That's what
that's called zap is a workflow
or automation. Before we get
started, I do recommend naming
your zap to keep things
organized. And this is simply
just you naming your workflow
for this one, where you're going
to have a zap trigger an
automation trigger anytime
someone purchases one of our
products. So this is going to be
post purchase, reminder. And we
can even get more specific if
you wanted to. But I'm just
going to put a name to that. And
let's say the source of our
purchase is from teachable,
which is where we host our
online courses. So we type in
the app that we want to connect
to. And that's where the first
step takes place when something
happens in teachable that we
want to do this. So select on
teachable. So with teachable.
First off, you want to make sure
that if you have an account that
you log in with the first one
actually we're going to do this
when a new cell happens. That is
the trigger event. That's the
first step that happens for the
robot to say, okay, we're going
to take this task and move it to
the next step automatically.
Robot automated without you,
then you want to make sure that
you manage connected accounts or
sign into your account, we
should already be signed in
here. So we are going to connect
our account hit Continue. That's
as simple as it is right now
we're going to say anytime
there's a new cell, we want to
be notified in slack or by
email. So we're going to do is
going to test that trigger to
make sure that those both Zapier
and teachable can talk to each
other. And it says we found a
sale that means it worked. It
says it was successful. So we're
going to hit continue, then what
we want to do is we want to
create a new task in Asana.
Maybe a new task is going to be
assigned to a team member that
says, Okay, this new person that
purchased needs access to
merchandise or another special
gift opportunity. And so we
didn't mean we didn't make sure
that a team member takes care of
that set up Asana, they're the
event is we want to create a new
task to continue. connect our
account, confirm our account.
And then this is where we can
customize the task that is
created. So we can choose on the
workspace. So it's going to pull
from the information we have
inside of our Asana account. And
then we can choose on the
project. So let's say we wanted
to, let's just choose a random
project to be. Let's see here
we'll go to clients. And we can
choose multiple projects if we'd
like. Also a section of that
project. So that way it's better
organized, we'll put at the very
top and then we could name this
task to be like okay, let's say
ship
client gift and Then we're going
to have a dash and then add the
clients name, which will pull
from that information. And then
in here, we can add notes to the
description. So maybe we want to
add the clients name. Maybe we
want to add their email, maybe
the course they bought so we
know any other information we
need. And then that he adds to
the note section, we can add a
due date. In here, which I'll
skip that assignee, we can
choose who we want to assign it
to from our team. We can add
followers to that task, we can
add tags. And then we hit
Continue when we customize that
task of what's created, and then
we can decide to skip the test
or do the test. Let's go ahead
and test it to make sure that we
could actually do this workflow.
Yep, it works. So then tells us
to turn on the zap any of these
buttons work. Once it's turned
on, anytime someone purchases
instead of teachable, anytime a
new cell is recognized, then it
will create a task
automatically. No humans needed
inside of Asana. In order for
one of our team members to know
they need to ship off a new
client gift. And that is a quick
Getting Started walkthrough of
what it looks like to create a
simple automation. A powerful
thing is it doesn't just stop at
two tasks, you can add in tasks
or filters inside of one, maybe
you want to add another one
where it's like, hey, let's also
send a Slack channel message. Or
let's send an email to a team
member. You can add in any of
these or maybe let's make a
social media post, with a photo
of this client, welcoming them
to the product that they
purchased inside of our
customer, Facebook group. Or
maybe we want to add some
information in an air table list
or send off an email and Active
Campaign or add that contact to
an Active Campaign list, which
is our email marketing software.
There are multiple steps that
you can have this workflow
complete and do that will help
with eliminating all of the
mundane repetitive tasks that
you or your team may find you're
doing on a daily basis. And then
what you can do is go back to
your main dashboard. And you can
customize different types of
zaps based on different
departments or different
operations inside of your
business, as you see here, and
you can explore different
opportunities, have some of
those popular apps available, or
recommended template workflows
that already set up for you.
Whether it is a notifying of my
team members about new leads,
which is powerful, and you can
customize your search based on
the role the marketing team or
most popular opportunities. So
this is again a powerful tool to
make robots do all of the heavy
lifting for you inside of your
business to set up automation so
that way your business can run
without you run like clockwork,
and empower a lot of day to day
operations inside of your
